Upload Bulk Appliance Coupon Codes File for Disbursal to Eligible Customers into MyEnergy

To download an example retailer coupon CSV template, open MyEnergy Retailer Home Page and click Download Template Coupon CSV under the Upload Appliance Coupons component.

Uploading Bulk Appliance Coupons:

  • Participating Retailers will have a file upload component on the MyEnergy Home Page prompting submission of newly generated appliance coupon codes
  • The file upload will trigger a Case record generation and email alert to Program shared inbox to notify IT that data import is required
  • IT will be responsible for uploading the retailer-generated coupons to Salesforce so NYSERDA can track coupons and disperse to customers

Remove the sample data from the template document, and replace with generated coupon codes with their respective coupon amounts and expiration dates.

Data in Coupon CSV:

  • Appliance Coupon Code: Unique coupon code
  • Coupon Range: Either 50% off up to $840 or 100% off up to $840
  • Expiration Date: Date when coupon expires

Open MyEnergy Retailer Home Page and click Upload Files under the Upload Appliance Coupons component.

Select the file you wish to upload and click Open.

If CSV is uploaded with incorrect headers, an error message will be displayed.

Validate the Documentation and click Upload. When CSV is uploaded, a success message will be displayed.

Validating Documentation:

  • The CSV document uploaded will display the first five records, allowing you to confirm it is following the appropriate format regarding Column Headers
  • The CSV column headers that need to be included are coupon code, coupon amount, and expiration date

Upload Sales Documentation via CSV Batched List into NYSERDA Portal

Participating Retailers will have two options when uploading sales documentation in MyEnergy: by bulk CSV upload, or individually to each retailer coupon detail page.

To download an example retailer coupon CSV template, open MyEnergy Retailer Home Page and click Download template Coupon CSV under the Upload Appliance Coupons component. 

Uploading Sale Documentation via CSV Bulk Upload:

  • Retailer will have a file upload component on the MyEnergy Home Page prompting submission of new Sale Documentation
  • The file upload will trigger a Case record generation and email alert to Program shared inbox to notify IT that data import is required
  • IT will be responsible for uploading the sale documentation to Salesforce, which will trigger an approval request for TRC to review

Remove the sample data from the template document, and replace with sales documentation data to be submitted.

Open the MyEnergy Retailer Home Page and click Upload Files.

Select the File you wish to upload and click Open.

Validate Documentation and click Upload. When CSV is uploaded, a success message will be displayed.

Validating Documentation:

  • The CSV document uploaded will display the first fie records, allowing you to confirm it is following the appropriate format regarding column headers
  • The CSV column headers that need to be included are coupon code, coupon amount, and expiration date

Additionally, Participating Retailers will have the ability to upload Documentation to coupons individually by clicking the Attach Sales Documentation button directly on the coupon detail page.

Populating the sale documentation fields from the retailer coupon detail page will automatically trigger the approval process for TRC to review. Participating Retailers can also upload file attachments if desired while submitting sale documentation (i.e. receipts).

If an ad hoc attachment is uploaded directly to a coupon record, it can be accessed under the Related tab on the coupon detail page. TRC will be able to view submitted attachments in a report.

Access Retailer Coupons and Reimbursement Report in MyEnergy

Participating Retailer users will be able to view all their coupons by status through the My Coupons tab in MyEnergy. List views will allow retailers to filter coupons by Assigned, Unassigned, Sale Documentation Submitted, and Sale Documentation Denied Status.

Clicking on a coupon code link will open the Coupon Detail Page.

This page will display Coupon Details (expiration date, amount, date assigned, etc.) as well as Sale Documentation information if already submitted.

Participating Retailer users will be able to access a summary report by clicking the Reimbursement Report tab in MyEnergy. The Reimbursement Report displays the sum of the Qualified Project Costs and Rebate Amounts organized by coupon status. Retailer users can access this report to understand how much is owed by NYSERDA.
